Who we are
This website is operated by Wheel Magician Ltd, a company registered in England and Wales under company number 12762771, with its registered office at PO Box 4385, Cardiff, CF14 8LH. We trade as Wheel Magician and are the data controller for any personal information you provide through this site or when you contact us.

What information we collect
When you request a quote or contact us, we may collect:
- Contact details — your name, phone number, email address, town or postcode, and the best time to reach you.
- Vehicle and job details — the make/model of your vehicle, wheel size, tyre size, the work you'd like, and any notes you add.
- Photos — pictures of your wheels or tyres that you upload to help us quote accurately.
- Preferred dates and time of day — to plan a visit.
- Distance metadata — if you use the postcode coverage checker, we calculate the rough distance from our base in Reigate to confirm we can reach you.
We do not use cookies for tracking, analytics or advertising on this site. See our Cookies Policy for the full picture.
Why we collect it
We use the information you provide to:
- Reply to your enquiry and prepare a quote
- Arrange a visit if you decide to go ahead
- Carry out the work you've booked
- Keep records of customer jobs for warranty purposes
Our lawful basis
Under UK GDPR Article 6, we rely on:
- Legitimate interests for the initial quote and any follow-up — you've voluntarily contacted us asking for one. You can object to this at any time (see "Your rights" below).
- Contract when we go on to do the work — the data is necessary to fulfil our agreement with you.
- Legal obligation for any data we have to keep for tax or insurance reasons.
Who we share it with
We do not sell your data and we do not share it for marketing. To run the site and our quote workflow we use a small number of trusted services:
- Cloudflare — hosts the website and protects it from attacks. Cloudflare may briefly process technical request data (IP address, request headers) for security purposes.
- DigitalOcean (London) — hosts the n8n automation server that receives your quote and emails it to us. The server is in London (LON1 region).
- Microsoft 365 — handles our email (the quote notification, plus any reply we send you).
Each of these providers is subject to UK GDPR or equivalent EU/EEA protections, with appropriate safeguards in place where any data crosses borders.
How long we keep it
We keep enquiry data only as long as it's useful:
- Quote enquiries that don't lead to a booking — kept for up to 12 months in case you come back to us, then deleted.
- Customer job records — kept for the duration of the 1-year warranty plus 6 years after, in line with UK accounting and tax retention requirements.
- Photos you uploaded — kept with the matching job record, then deleted unless you've separately given us permission to keep them as portfolio examples.
How we protect it
- The site runs over HTTPS (TLS encryption) end-to-end.
- The link between this site and our quote workflow is protected by a shared secret header, so spoofed submissions are rejected.
- Our automation server only accepts traffic over a private Cloudflare tunnel; its public ports are closed.
- Email is encrypted in transit and at rest in Microsoft 365.
Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct anything that's wrong
- Delete your data ("right to be forgotten")
- Restrict how we process it
- Object to processing based on legitimate interests
- Port your data to another provider
- Withdraw consent at any time, where consent applies
- Not be subject to fully automated decisions — none of our quoting or scheduling is automated, a human reads every enquiry

Complaints
If you're unhappy with how we've handled your data, please contact us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office (ICO):

Changes to this policy
We may update this policy from time to time. The "last updated" date at the top will always reflect the most recent change. Material changes will be flagged on the home page or by email if we have an active booking with you.
